Make your invoice register useful beyond the total

A finance register: what is due, in which currency?

Your invoice type can capture these fields from two supplier invoices. The figures below are illustrative; currency and due date are extracted document values, not live exchange rates or payment status.

One document row per invoice

Filter due dates to prepare a list for finance review. Group totals by currency: EUR 186.00 and USD 432.00 remain separate amounts until your finance process applies any conversion. A due date and invoice total alone do not tell you whether an invoice has already been paid.

The charges behind AW-2026-184

Document referenceDescriptionQuantityUnit priceLine amount
doc-fin184Packing boxes207.00140.00
doc-fin184Courier labels35.0015.00

The item amounts add to the 155.00 subtotal; the 31.00 tax brings the invoice total to 186.00. The document reference connects these charges to the summary. Define the fields and tables that reflect how your suppliers present tax and charges.

Separate tabs give you one summary row per invoice alongside item detail. A combined tab repeats invoice values beside each item: AW-2026-184 would show its 186.00 total twice. Sum line amounts for item analysis and use one row per invoice for invoice totals.

For spreadsheet creation and layout choices, see automatic Google Sheets export setup. For more on extracting item details, read PDF invoices to Excel with line items.

Build the tracker around your finance team's work

Choose the information you need, bring invoices together, and decide when results are ready to share.

Capture the details your team uses

  • Keep the invoice context: Capture supplier, invoice number, invoice date, due date, currency, subtotal, tax, and total according to your team's needs.
  • Keep the line-item detail: Add repeating fields for descriptions, quantities, unit prices, and line amounts.
  • Adapt the fields to your invoices: Start from Suparse's shared Invoice type or define your own reusable invoice fields. Explore the invoice OCR converter.

Check the register before using its totals

  • Keep amounts comparable: Group invoice totals by currency. Capture due dates for finance follow-up, and maintain payment status through your finance process.
  • Inspect repeated supplier references: Sending AW-2026-184 again can create a second record, even though Suparse skips each record already delivered to the same destination. Compare supplier and invoice number, then check dates, currency, and amounts before including both records in totals.
  • Choose the human check your process needs: See validation and reviewer control. Invoice capture, business approval, and payment are separate steps in accounts payable.
